New Hire Onboarding Experience
Welcome to DGS, New Hires!
Congratulations on becoming part of the Department of General Services (DGS)! As a valued member of our team, you will help achieve the goals of our organization, and share in the values of DGS – Integrity, Accountability, Excellence, Innovation, and Teamwork.
We realize that starting a new position or career can be both exciting and overwhelming, especially when you are not sure as to what to expect. By creating this site, we are hoping to provide you with enough information to take those worries away--allowing you to be better prepared on day one. Welcome to the DGS family!
Begin the onboarding process by reviewing each of the phases or timeframes below to walk through the steps needed to complete your hiring process.
Onboarding Timeline
Prior to your arrival, your new team is already excited and preparing to have you join the team. You may:
- Determine your start date
- Sign and return your official offer letter to your supervisor/manager
- Discuss additional resources
- Receive a Welcome Letter and other communication from the supervisor/manager about what to expect your first day (e.g., parking, start time, etc.)
- Be asked to provide a short biography or bio, which your supervisor/manager may include an announcement email to your unit/division
- Receive a reminder email of items to bring on your first day to complete human resources paperwork (e.g., proof of identification, etc.)
- Be assigned a Sponsor, which is a designated team member to help you establish successful integration)
- Receive communication from your Attendance Clerk (AC) or Employee Resource Liaison (ERL)
- Your program’s AC serves as a liaison to ensures accurate and timely submittal of payroll and benefit information is conveyed to the assigned Personnel Specialist in the Office of Human Resources, Personnel Transactions Unit.
- Your program’s ERL serves as a liaison between supervisors/managers and the Office of Human Resources on hiring needs, recruitments, policies, procedures, and guidelines.
Congratulations! On this day, you will be stepping into your new role and starting your employment with DGS. We will be here to support you to ensure you are set up for success and are made to feel welcome. On your first day, you may:
- Be greeted by your supervisor/manager
- Meet your fellow team members
- Take a tour of the building
- Set-up your workspace and work area
- Review the Emergency Evacuation procedures
- Receive your badge/ID and/or office keys
- Receive your technology equipment and tools and be guided in equipment usage
- Discuss your schedule and expectations
- Sign the department and your unit-specific expectations memorandums
- Review training plans
- Receive your Welcome Packet
- Discuss standard operating procedures:
- Work/lunch/break schedules, absence requests/reporting, overtime, telework, travel policy, etc.
- Desk procedures and resources, Intranet portal, directory of shared drives, document naming conventions, overview of department equipment, applications, and systems
- Coordinate with your Attendance Clerk to complete necessary documents either in hard copy or through Adobe Sign
- Report your COVID-19 vaccination status to your supervisor (i.e., fully vaccinated, partially vaccinated, not vaccinated, etc.)
This week will be full of new information and learning for you. Please let your team know when you have questions. We want to provide you with as much support as possible to ensure you have the items needed to excel in your role. During your first week, you may:
- Receive training and review training plans
- Enroll in the next New Employee Orientation (NEO)
- Meet with key internal and external stakeholders important for job function
- Review organizational structure
- Reviewing and/or acknowledging additional policies, manuals, and expectations
- Meet with your supervisor/manager to check-in and discuss progress and address any questions
- Discuss meeting schedule and receive calendar invites for regular one-on-one meetings
- Receiving some assignments to start showcasing your skills set
We are hopeful that during your first month you are assimilating nicely into our department and your new role. During your first month, you may:
- Receive assignments, resources, and success measures
- Attend one-on-one meetings for feedback, questions, and development
- Sign and submit necessary human resources forms and policy acknowledgement forms
- Receive additional training
- Review probationary periods related to your classification
- Review the annual Performance Appraisal (PA) review process
During your first three (3) to six (6) months, you may:
- Receive your first probation report and your supervisor/manager may schedule subsequent probation report meetings
- Attend one-on-one meetings for feedback, questions, and growth
- Receive increasingly challenging projects
- Receive additional training as needed
By now you are an integral part of our team. We hope that DGS has been an environment where you feel your career will flourish. During your first year, you may:
- Receive your probationary periods reports
- If 6 month probationary period: receive 1st report during 2nd month, 2nd report during 4th month), and 3rd (final) report at 6 months
- If 12 month probationary period: receive 1st report during 4th month, 2nd report during 8th month, and 3rd (final) report at 12 months
- Create written performance goals
- Continue with assignments and receive increasingly challenging projects
- Attend one-on-one meetings for feedback, questions, and growth
- Participate in weekly, bi-weekly, or monthly check-ins and staff meetings
- Receive additional training (shifting focus from on-the-job training to continuous development)
